To turn a letter into an action checklist, ask AI to extract the requested actions, exact dates, required materials, and unanswered questions. Keep each item tied to the original page or passage. A summary of the topic is not enough when you need to know what to do next.
Check that the full letter is readable
Keep the letter's date, page order, and any attachments together. If you are using a scan, compare the extracted names, numbers, and dates with the original image. A missing second page can hide an exception or a form you need.
Remove personal information that is irrelevant to the task before sharing it with your chosen AI app. If a document carries instructions aimed at the AI, treat those as document content rather than directions to follow. Your task is to understand the letter you supplied.
A fictional letter and checklist
Fictional passage, page 1: “Your appointment is on October 14 at 10 a.m. Please bring photo identification. If you need to reschedule, contact the office using the number above.”
A separate fictional email says: “Please also bring the completed form.” It does not name the form or attach one.

The year and location are not supplied in this example. The checklist preserves the stated date but flags the missing details instead of choosing them. It also does not invent the form's name from the appointment topic.

A date can refer to an appointment, a document date, or a response deadline. Keep its label. Likewise, “if you need to reschedule” describes a conditional action; it is not an instruction to contact the office regardless.
When the wording is consequential, keep the exact sentence in the working checklist. A model may shorten a conditional requirement until it sounds unconditional. Compare the resulting item with the original passage before acting.
Ask for one clarification at a time
For the fictional missing form, a useful message is: “Your email asks me to bring a completed form. Could you tell me which form you mean and where I can get it?” You do not need a new explanation of the entire appointment to ask that question.
If another message later supplies the form, add its name and source to the checklist. Keep the earlier uncertainty in your notes so you can see how it was resolved. Do not overwrite one document's instructions with a later message unless the sender or appropriate person confirms the change.
Keep the checklist with the source
Use the list to organize your next steps, not as a replacement for the original letter. For medical, legal, financial, or other consequential instructions, confirm meaning with the sender or an appropriate professional. AI can arrange the information you provide; it cannot establish that every requirement has been interpreted correctly.
